Mid-Atlantic Region EGA Seminar
Cancellation Policy
(1) Participant cancellation
(a) The canceling participant must send a cancellation notification in writing to the Mid-Atlantic Region (MAR) EGA Seminar Registrar at 2027marseminar.registrar@gmail.com or mail to: Sally Poole, 9328 Childacrest Drive, Boonsboro, MD 21713.
(b) A full refund, including kit fees and optional item fees such as tours and lectures, will be issued in the event of the participant's death. No kits will be released.
(c) A full refund, including kit fees and fees for optional items such as tours and lectures, will be given to a participant who is in the military and unable to attend the seminar due to reassignment. No kits will be released.
(d) There will be NO REFUNDS if a participant cancels their participation in a virtual class.
(e) Cancellations for a reason not covered above that are received via email or postmarked on or before
i. 60 days prior to the opening of the seminar (April 15, 2027), participant will receive a refund less the $125 nonrefundable deposit. No kits will be released if the participant cancels within this timeframe.
ii. 30 to 59 days prior to the opening of the seminar (April 16, 2027 – May 15, 2027), a $225 cancellation fee applies ($125 nonrefundable deposit plus $100). No kits will be released if the participant cancels within this timeframe.
iii. 0 to 29 days prior to the opening of the seminar (May 16, 2027 – June 15, 2027), the MAR EGA Executive Committee will review within 45 days of the close of the seminar (July 5, 2027).
● A full refund, minus the $125 nonrefundable deposit, will be given in the event of the death of a member of the immediate family. Immediate family is defined as spouse, child, parent, in-law, grandparent, grandchild, or sibling. No kits will be released.
● If the participant requests cancellation of their class(es) and they wish to receive one or more of their class kit(s), and the teacher agrees to release their kit(s), then their entire original registration fee and the fee(s) for the kit(s) sent to them must be paid in full. Optional items, such as tours and lectures, will be refunded in full only if participation can be canceled with the venue(s).
● In the event of serious illness or accident of the registrant or an immediate family member that prevents the participant’s attendance at the seminar, and the participant does not wish to receive any of their kit(s), a refund of 50% of the registration fee plus 100% of their kit(s) fee(s) will be granted. In addition, if the seminar cannot cancel the registrant’s banquet(s) and/or their participation in any optional events, such as tours or lectures, then the banquet(s) and optional event cost(s) will also be withheld from the participant's refund. Any guest banquet or optional event tickets that cannot be canceled will also be withheld from any refund due to the registrant. The participant will arrange for any kits to be picked up at the seminar or to be delivered, covering any postage fees.
For example: If the registration fee is $600, each banquet is $100, an optional tour is $80, and their kit fees total $150, then if the seminar is unable to cancel one of the banquets and their tour, then the participant would receive a $270 refund ($600/2) -$100 -$80 +$150=$270.
● A full refund of registration fees, minus the nonrefundable deposit, will be given in the event of a natural disaster that prevents the participant’s attendance. The participant must reside in a federally declared disaster zone to be eligible for the refund. No kit(s) will be released unless the participant requests their kit(s).
● If the participant is attending both the in-person seminar and a virtual class, the in-person cancellation policy will govern any refund due for the in-person class(es) as defined in this section. NO REFUNDS will be given for virtual class(es) as these are nonrefundable.
(f) All participant refund requests must be received within 15 days of the seminar's close (May 31, 2027).
(g) In all the above scenarios, any travel and hotel costs incurred by the student and their guest(s) are solely the responsibility of the student and their guest(s).
(2) In the event MAR EGA cancels a student’s class and, as a result, the student chooses not to attend the seminar, the seminar fee, less the nonrefundable deposit, will be reimbursed. Any travel and hotel costs incurred by the student are solely the student's responsibility.
(3) In the event MAR EGA cancels the seminar, registrants will receive a refund of the registration fee, which may include the nonrefundable deposit, less processing fees, such as PayPal fees, at the discretion of the MAR EGA Executive Committee.
(4) If a waitlisted-only registrant, meaning the registrant is not registered for any class(es) or any other part of the seminar, does not attend any part of the seminar, they will receive a full refund, including the nonrefundable deposit.
